How grain is accepted

  1. Truck is weighed on the weighbridge.
  2. Samples are tested for moisture, impurities and protein.
  3. Net weight is adjusted to basis quality.
  4. You receive the intake receipt and payment.

MOTORBUD TOV ("Motorbud", "we") buys and sells agricultural products, handles cargo at its terminal and trades wholesale. Many of our suppliers are individual farmers, so we handle personal data as well as company data. This policy explains how, in accordance with the Law of Ukraine "On Personal Data Protection" and the GDPR where applicable.

2. Farmers and grain suppliers

When you sell grain to us, we process your name, tax identification number (for individuals and sole proprietors), address of the farm or field, bank details, the contract, and intake records: weighbridge tickets, laboratory results for your lots and payment records. Tax identification numbers are required to report payments to the tax authorities.

3. Drivers at the terminal

Drivers entering our terminal are registered with their name, vehicle and trailer registration numbers, and time of entry and exit. This is necessary for weighing, safety on site and linking cargo to its documents.

4. Video surveillance

The terminal, weighbridge and laboratory sampling points are covered by CCTV to protect cargo, prevent disputes about weights and samples, and keep people safe around machinery. Signs mark monitored areas. Footage is stored for 30 days, or longer if it relates to a reported dispute or incident.

5. Wholesale customers and partners

We process business contact data of representatives of our buyers, suppliers and carriers, and order, delivery and invoice records.

6. Purposes and grounds

  • Concluding and performing purchase, sale, storage and handling contracts.
  • Quality testing, weighing and documenting grain lots.
  • Tax reporting, including reporting payments to individuals.
  • Site safety and security.

7. Sharing

Laboratory and weighing results are shared with the buyer of your grain only where necessary to confirm quality. We share data with rail operators and carriers, the State Tax Service, banks and our accountant. We never sell personal data.

8. Retention

  • Contracts, intake records and payments: as required by tax and accounting legislation.
  • Driver entry logs: 1 year.
  • CCTV footage: 30 days as standard.
  • Enquiries without a deal: 12 months.

9. Your rights

You may request access to your data, a copy, correction, deletion where no legal retention applies, restriction, and object to processing or withdraw consent. We reply within 30 days. Complaints may be addressed to the Ukrainian Parliament Commissioner for Human Rights or an EU supervisory authority.
